		Booking Information The AAAI’s ensembles are available for performances from October through April. For more information, contact Joii Byrd, Performance Manager, at (812) 855-3676. Guide to Booking The performing ensembles of the African American Arts Institute travel throughout the state of Indiana and the country at large giving performances and lecture-demonstrations at schools, churches, community and civic organizations, conventions, nightclubs and concert halls. 		Provide the following information:
		Your name, phone number and other contact information
		Name of your organization
		Possible date(s) and time(s) of event
		Ensemble(s) desired (If you are unsure, the Performance Manager will be happy to advise you.)
		Type and length of event
		Place of event & description of the space

		You and the Performance Manager will agree on a tentative date and discuss preliminary details of the engagement.
		2. Cost
		The Performance Manager will contact you with the financial quotation.
		3. Confirmation
		You will receive a confirmation letter and contract, as well as press materials.
		ENGAGEMENTS ARE NOT CONSIDERED TO BE CONFIRMED UNTIL WE HAVE RECEIVED A SIGNED CONTRACT OR CONFIRMATION LETTER.
		The Institute requires that all engagements be confirmed no less than 45 days prior to the engagement.
		4. Publicity
		No publicity mentioning our ensembles’ involvement should go out until written confirmation is completed.
		We request copies of all posters, flyers, news releases, articles, adds, and other publicity materials distributed regarding the engagment.
		5. The Performance Preparation
		Depending on the type of performance, expect to coordinate your event with our staff (Booking, Promotions Manager, Technical Supervisor and Road Manager).
		6. Evaluation
		Following the event, you will receive a Sponsor Evaluation Form. Although, not mandatory your responses help ensure that we continue to serve you well.
