Scheduling Classes and Classrooms

The Office of the Registrar schedules classes and classrooms approximately nine (9) months in advance, as follows:

Semester Departmental Scheduling Officer receives first copy from Registrar Final copy due back to Registrar
I (Fall) November Mid-January
II (Spring) June End of July
Summer (all sessions) October Mid-November

The Office of the Registrar follows the room assignment guidelines for general classrooms set forth by the Bloomington Campus Calendar and Scheduling Committee. In summary, these guidelines indicate that the priorities for room assignment are based on (1) the distribution of course offerings across all standard time periods within each room category at the rate of 55% or less during prime time (9am-2:30pm) and 45% or more during non-prime time (8-9am, 2:30-10pm) and (2) the scheduling of classes that meet during standard meeting times. Facility requirements for courses are sometimes based on the need for rooms of a certain seating capacity, and at other times on the need for rooms that accommodate or contain equipment that is essential to the course material or to the delivery of instruction. When time distribution and standard meeting requirements have been met, assignment will be made with consideration to both estimated enrollment yielding the most efficient use of the space requested and the need for rooms with special facilities and equipment.

Tips for Getting a Classroom Appropriate to Your Needs
  1. If you are going to be using a lot of technology, become familiar with the technology classrooms available.

  2. However, since there are still a limited number of technology-enhanced classrooms, particularly across the range of room sizes, also become familiar with the non-technology classrooms. Portable technology is available for your use. Set up and use is easier in rooms with movable table arm chairs than in seminar rooms with tables and chairs.

  3. If you have any questions about use of technology in a given room, contact ISS Media Resources. They will arrange an on-site demonstration of either fixed or portable equipment. Contact clastech@indiana.edu for information on technology-enhanced classrooms. Contact scales@indiana.edu for information on portable equipment available.

  4. Work with your departmental Scheduling Officer early in the schedule build process. ISS cannot schedule classrooms on your behalf. Don't wait till the last minute. Give him or her a list of 3 or 4 rooms that will meet your needs, as well as a prioritized list of the features you particularly need. Be exact. For example, if you show a lot of videos, make sure you use the word "video" and not the work "film." "Film" refers to 16mm film and the room requirements are different than for showing a videotape. The Scheduling Officer also has the ability to write in any special requests you might have. The more flexible you are, the better your chances of getting into a classroom that meets your needs.
