Bloomington Faculty Council (BFC) Graduate Assistantship Opening (Spring 2016)

POSITION SUMMARY

Provide a variety of support services to the Faculty Council. Perform secretarial and administrative work including producing meeting minutes, updating and maintaining website, assisting with logistical arrangements, and serving as a resource person for the Council. Complete special projects as required. We will have a position opening soon commencing as soon as possible during the Spring 2016 semester. Applications accepted until the position is filled. The position is 20 hours per week and carries a fee remission and $5,000 stipend. Position starts with a probationary period of one semester with renewal available on a per semester basis or longer.

DUTIES AND RESPONSIBILITIES

Under direction of the Faculty Council Chief of Staff provide a variety of support services to the Faculty Council President and other Council members.

Attend meetings of the Bloomington Faculty Council and University Faculty Council. Provide and distribute agenda item materials and other information to Council members. Produce and proofread minutes, memos, and other materials utilizing computer and word processing/database/spreadsheet software; proofread for grammar/spelling; assist in gathering data for reports.

Maintain and update Council websites. Coordinate the maintenance and updating of existing Web pages, check and maintain links; monitor Web sites for consistency, cross-referencing, and compliance with university standards for Web site content and design. Develop database structures and maintain created databases; organize data in manner best suited to meet University needs and requirements. Develop summaries, mailing lists, and other reports using information stored in databases.

Provide secretarial and other clerical support; prepare responses to routine inquiries; gather information and prepare routine reports; edit and type memos and correspondence; serve as receptionist when necessary; handle front desk duties; greet guests.

Maintain Council calendar; arrange meetings; complete arrangements for travel and other activities. Coordinate logistical arrangements of special events such as conferences, workshops, seminars, celebrations or committee meetings. Establish and maintain files; ensure completeness and accuracy.

Process and distribute incoming mail. Prepare any informational packets department uses; assist in preparing out-going bulk mailings; ensure mailings and forms are in proper order. Monitor inventory of standard office supplies.

QUALIFICATIONS

Knowledge of standard office procedures and equipment.

Knowledge of computers, Outlook, Excel, Access, and word processing software. Competency in HTML, CSS, Dreamweaver and WCMS highly desirable; web development and maintenance ability.

Excellent communication skills and writing skills.

Excellent organization skills and ability to work well with a wide range of people.
