Sponsor Responsibilities

The primary nominators of Fellows to the Institute for Advanced Study have the following responsibilities:

1. Sponsors prepare nomination dossier and arrange for letters of support from those faculty members whose work is related to Fellows' own work and who will actively interact with the Fellows during their tenure with the Institute. Both sponsors and supporting faculty must be physically present on campus during Fellows' tenure with the Institute.

2. It is sponsors' responsibility to pick up Fellows at the airport or arrange for their transportation to and from Bloomington. The Institute will gladly reserve an apartment in university housing (private housing is sponsors' responsibility) if Fellows wish to use it during their stay in Bloomington. Since the Institute has no access to housing on non-Bloomington campuses, we ask primary sponsors on those campuses to make their own housing arrangements for Fellows residing on those campuses.

3. We would like as many faculty members and students as possible to benefit from our Fellows' visits. Therefore we ask the sponsors to help us locate interested faculty on other campuses and help arrange for a Fellow to visit at least one of those campuses. If a Fellow based on one IU campus is invited to a different IU campus to give a lecture, talk to a class, or participate in an informal seminar, the faculty member from the campus to be visited is expected to arrange for room and board , if necessary. The Institute will pay for transportation between IU campuses for such visits.

4. In order to be paid a university stipend, foreign visitors MUST enter the US on a J-1 visa if visiting for more than nine days. The visa papers are processed and sent to Fellows upon their acceptance of the Institute Fellowship.

5. All Fellows must obtain a social security number or ITIN (Indiviual Taxpayer Identification Number). In the case of foreign Fellows who have not yet obtained a Social Security number, we ask the sponsors to help them apply shortly after their arrival. A notification from the Social Security office stating that a Fellow's application for the number is pending is required to process the payment. As soon as the Social Security card arrives, the number should be reported to the Institute.

6. Fellows are asked to give one public lecture on behalf of the Institute . The Institute Director, Alfred Aman, usually makes a brief introduction of a Fellow on behalf of the Institute, followed by a more detailed introduction by the sponsor. In cases when the Director is unable to attend, we request that sponsors introduce Fellows at their public lectures as Fellows of the Institute for Advanced Study. The Institute will send out announcements of Fellows' lectures to faculty, administrators, AIs, emeriti, and librarians on all IU campuses. Sponsors are asked to consult with the Institute about the title of the lecture and the time of its delivery as well as of AV and room needs. We will be happy to reserve a lecture hall and arrange for a luncheon or a small, informal reception in Fellow's honor. The sponsor must inform the Institute about the lecture and its details at least two weeks in advance so the mail services have enough time to distribute the announcement.

7. In order to keep track of Fellows' activities during their tenure with the Institute, we ask that primary sponsors send us a schedule of activities prior to Fellows' arrival. We request that all departmental announcements pertaining to the activities of IAS visitors during their tenure with the Institute should acknowledge their status as Fellows (or Distinguished Citizen Fellows) of the Institute for Advanced Study. After the completion of Fellows' visits, we ask that both Fellows and their sponsors send us brief  reports on the progress of their research collaboration and on their general impressions of the Institute's role in facilitating that collaboration. We would appreciate it if the reports were sent to us within a month after Fellows leave the campus.

8. The Institute pays a flat stipend and does not reimburse Fellows for travel or room and board. However, sponsors are welcome to reimburse Fellows for these expenses from other university sources. Fellows can also accept additional honoraria for lectures or talks beyond a required public lecture on behalf of the Institute but they are not allowed to teach formally and receive remuneration for it or travel to other universities during their tenure with the Institute.
