1. THANKS!!

My sincere appreciation to those helped make my lectures at Warsaw University a success. Tim Larson and Jolanta Wojciechowska translated the overheads into Polish - something highly valued by the audience. Thanks to both Tim and Jolanta for their fine work, to Cameron McGuire for the excellent idea to provide two-language overheads, and to April Easter for fast production of the final product with a tight deadline.

The Indiana University tie to Warsaw University has been strengthened through the library exchanges which have occurred this year.

2. FACULTY/STAFF NEWS

Diane Bever was recently selected to be an Indiana University Faculty Service. She will be joining a group of 10 distinguished faculty from 5 campuses in collaborative work during the 1997-1998 academic year. She was chosen because of her strong interest in experience with professional service. As a Faculty Service Fellow, Diane will participate in six workshops at IUPUI during 1997-1998. She will prepare a dossier based on service activities and will participate in the production of an Indiana University Professional Service Handbook.

Congratulations to Diane for her selection to this prestigious group of IU Faculty members.

On May 1, 1997, Steven Schmidt stepped into his new role as President of the Indiana Library Federation. Schmidt, the Access Services Librarian and Team Leader for the IUPUI University Library, has been active in the Indiana Library Federation for over a decade. His term as President follows his service as Conference Chair for the organization's annual conference. The Indiana Library Federation currently boasts nearly 3,000 member statewide representing academic, public, and corporate libraries as well as support staff, library friends, and trustees.

Effective May 31, Ed Stockey resigned his position on the Horizon Project.

Nancy Wootton, Assistant Librarian at IUSB, and Fred Hershede, Professor of Economics were part of a panel presentation entitled "Instructional Partnerships" at the Indiana Library Federation annual meeting on May 2, 1997 in Indianapolis. Michele Russo, Acting Library Director at IUSB, was also part of the panel.

Nancy Wootton, Assistant Librarian at IUSB, was recently elected to a 3-year term on the Indiana Academic Library Association Executive Board.

3. LIBRARY STAFF FEATURED IN NEW EMPLOYEE HANDBOOKS

Two of our very own staff are featured in the recently distributed Staff Handbooks. Terry Reynolds is on the cover of the PA handbook, and her picture and a brief article, with a quote from Terry, are on page 3 of the handbook. Vera Heitink's picture, also with an article and quote, is on page 29 of the support staff handbook. Terry is at the Business/SPEA Library, and Vera is in MPS. It's great to see us so well represented.

4. MARC CATALOGING OF RECORDS IN THE IU ARCHIVES - A COLLABORATIVE EFFORT

The University Archives, with the assistance of IOCM, has begun an ongoing effort to catalog its holdings for inclusion in IUCAT and OCLC. This is the first time any of the records in the Archives will be included in either IUCAT or OCLC.

The creation of the Archives MARC record is truly a collaborative effort. Working from information in the archival finding aid created when the collection is processed, Tom Malefatto of the Archives staff creates a MARC record for that collection in OCLC. Marty Joachim reviews the record, suggests changes and corrections, and creates new authority records, if needed. Tom then revises the record based on Marty's recommendations. At this stage, Jackie Byrd adds a PURL to field 856, which points to an HTML version of the finding aid available from the Archives web page. Marty then adds the record to NOTIS. The process is completed when Tom updates the holdings record.

As indicated in this description of the workflow, the MARC record is part of a multi-level descriptive strategy employed by the Archives. In addition to the collection level MARC record, the Archives staff also produces for each collection an archival finding aid or register which describes the collection in much greater detail than the MARC record. A typical archival register consists of a biographical note or an administrative history, a scope note summarizing the contents of the collection, and a folder-level inventory or container list. These finding aids are available internally within the Archives and, within the last year, externally on the Archives web site. The third tier of this multi-level descriptive framework is the internal database which contains all the information gathered to produce the archival finding aid. Using this database, the staff can conduct keyword searches on subjects or names contained in record folder titles wherever these folders may appear in the vast University Archives collection.

By the end of the year, the Archives staff anticipates having 75 MARC records in IUCAT.
