Historical Note

Before the creation of the office of University Ceremonies, the arrangement for formal ceremonies and visits by distinguished guests was handled by various people under different departments. Dorothy Collins, officemanager and research-editorial associate under both President Elvis Stahr (from 1962 until 1968) and Chancellor Herman Wells (from 1969 until 1993) is noted to have arranged and/or been consulted in the arranging of formal university ceremonies before 1972.

In 1972, General Joseph O. Butcher was named Director of Special Services in the University Relations office. In 1977, Butcher officially retired from the university and Charles M. Coffey was named Director of Special Events under the office of University Relations.

In 1982, Coffey left his position on the Bloomington campus to assume the directorship of Alumni Programs at Indianapolis. The position of director of university ceremonies was added to the responsibilities of Wayne O. Craig, then working under the Office of the President as Director of Conference Bureau and Continuing Studies. A year later Craig was made full-time Director of University Ceremonies which now exists under the office of Public Affairs and Government Relations. In 1992, Craig was succeeded by Shoshana Watkins-Harper.

Scope and Content Note

These records are the files of Shoshana Harper, Director of University Ceremonies. The records are divided into two subseries: Subject files and Outgoing Correspondence. The Subject files comprise 9 cubic feet and span the years 1953-1997. However, the vast majority of the records were created in the period from 1990-1997. The Outgoing Correspondence comprises .75 cubic feet and consists of copies of correspondence created in the year 1992.

Prominent subjects contained in the Subject files include: Benton Medallion recipients files, Commencement files for all the IU campuses, Dedications and ground breakings throughout the IU system, Correpondence to and from President Thomas Ehrlich, Founders Day files including the conferring of various IU medals, Freshman Induction files, Installation of Chancellors files, President's Medal for Excellence and President's ROTC Award files.
