DEPARTMENTAL VAN POLICY

ALL VAN DRIVERS MUST PROVIDE A READABLE COPY OF THEIR VALID DRIVER'S LICENSE AND COMPLETE THE ONLINE AUTHORIZATION FOR A BACKGROUND CHECK BEFORE SITTING BEHIND THE WHEEL!

Department vehicles (vans and cars) may be used only for departmental business.

Before driving a vehicle, the driver must register his/her driver's license with David Grindle who will give a copy to the Departmental Secretary in AD215. This must be done with your supervisor's approval.

  • You must also log onto the following website and complete an online form allowing the university to do a background check on you and your driving record. The driving record is imperative to IU. Everyone must complete this.

    • This page is a little confusing. Immediately underneath THESE ARE THE LINKS, select I know my User ID and ADS password.
      • When you enter your username, be certain to enter it as ads\username
    • Complete the form
    • If you have any trouble, please contact David Grindle.
  1. Before taking a van, a driver must sign it out on the counter outside A300U. Information required on the sign-out sheet includes full name, destination(s), purpose of trip, departure time, and expected return time. Keys will be with the reservation sheet.
  2. Vans must be returned by the time specified on the sign-out sheet. In the event of an unavoidable emergency which delays the return time, driver must call the department (855-4535) prior to 4:30 P.M.
  3. June through October , vans must be returned to the department each evening no later than 5:00 P.M. for costume loading prior to transportation of cast, crew, and ushers to Brown County Playhouse . NO EXCEPTIONS !

** In case of an emergency delay June through October, contact the Department (855-4535) until 4:30 P.M. After 4:30 P.M. call the Brown County Playhouse (988-2123).

  1. Vans should be RETURNED WITH NO LESS THAN ONE HALF TANK OF GAS. Gas may be obtained only by using your assigned gas card issued by the IU Motor Pool.
  2. Keep the van clean . When you return the van, take your trash with you. If others leave their trash, the driver is the one responsible.
  3. In the event of an accident, please report even the smallest scratch on a vehicle IMMEDIATELY to David Grindle in M100B. If you fail to do this, the department rather than the University insurance will be billed for repairs. Before you leave a parking lot, please check the van to see if another driver has damaged it. If so, report immediately. Give a copy of the paperwork from the accident to David Grindle (M100B).
  4. Drive carefully and responsibly. The road to Brown County Playhouse is winding and treacherous, so it is particularly IMPORTANT TO OBSERVE SPEED LIMITS . Schedules are prepared with plenty of time for transportation. Watch for deer and other animals which frequently cross this road.
  5. In the event of a maintenance problem with either van, please notify David Grindle (855-7303) immediately and if necessary and feasible – deliver van to IU Service Center for repair. DO NOT leave a message. If you cannot reach David Grindle, please call the Executive Secretary (855-4535).
