New Online Travel Reimbursement System

Travel Management Services is pleased to announce that a new online travel reimbursement system is currently being developed.  This will be an integrated system through the OneStart portal that can be utilized by university travelers, arrangers and Fiscal Officers.  Through the new online system, you will be able to submit travel authorizations, request travel payments & reimbursements, access reports and even track your reimbursement status all in one system.

National Rental Car FAQ

Q: How do I know I'm getting the lowest rate?

A: At the time of reservation, National will compare the negotiated rates with other available retail rates. The lower rate is confirmed and guaranteed, In addition, National Car Rental will apply a discount to promotional and holiday rates. Be sure to identify yourself by providing the corporate discount number.

Q: What is the Emerald Club Service Progarm and how do I enroll?

A: The Emerald Club is National's premier service program. Membership is free to all Big Ten travelers. At most major airports, the service takes you away from the lines at the counter to the Emerald Aisle. You choose the car you want to drive and you're on your way. Enclosed in your packet of certificates is a fee-waived Emerald Club membership coupon. Present the certificate at a National counter and they can enroll you at no charge. You may also enroll by mailing the coupon to National.

Q: What if I am already an Emerald Club member?

A: Ensure the Emerald Club profile contains correct data, including the university name and corporate discount number. If the Emerald Profile does not contain the university name and discount number you may not be eligible for Big 10 benefits. Inquire at the time of rental or return and be sure the university name and discount number is on the rental document. Rent one time per year using your Emerald Club card and your membership will be automatically renewed. Please give your Emerald Club number to your travel agent. Q: Should I accept the optional Loss Damage Waiver?

A: No, the optional Loss Damage Waiver is included in the rate program and should be declined. Accepting the Loss Damange Waiver Option would simply duplicate the negotiated program benefits. The Loss Damage Waiver is included on business and personal rentals. The Loss Damage Waiver (LDW) eliminates the renter from responsibility when the care is involved in either a collision or comprehensive incident (theft, fire, vandalism, damage to vehicle as a result of hitting another car/object).

Q: What optional coverages will be reimbursed by the University when I rent from National?

A: When traveling in the United States, the University will not reimburse you for any optional coverages, such as the Loss Damage Waiver, Supplemental Liability Insurance, Personal Effects Coverage and Personal Accident Insurance. These should be declined on the Emerald Club application to ensure you will not be chaged for these options.
