Establishing Positions

If a department expects a prospective employee to work at least 1,930 hours or more in a fiscal year within a responsibility center (RC), then an appointed position should be established.

Hours of work is based on all expected work within an RC, even if such hours are from different funding sources or different departments within an RC, and/or multiple tasks are performed.

If it is expected that an employee will work less than 1,930 hours in a fiscal year ensure that

The position is needed for at least nine months in a twelve-month period.

It is at least half-time.

Funds are available.

Whenever a position that meets these criteria is not created because of a lack of funds and/or a lack of campus approval, the position will be identified and Local 832 will be notified.

Using the Human Resources Management System (HRMS), create a position maintenance document and obtain approvals through the routing authority.

Complete a Position Description and obtain the necessary approvals.

Ensure that University Human Resources has assigned the position a classification level. (See 3.1 Job Evaluations, Position Classifications).

Contact University Human Resources concerning recruiting and advertising arrangements. (See 2.6 Advertising Job Openings and 2.7 Process for Recruitment/Selection).

Job specifications for SM jobs in a unit will be posted on bulletin boards once and copies will be supplied to Local 832 officers.
