The published financial aid reports from our office compile data from the institution's Indiana Commission for Higher Education Student Information System (ICHE SIS) annual submission. The financial aid figures represent disbursed aid for the academic year and subsequent summer term ("aid year"). All IU campuses are included other than Fort Wayne. Through the reporting year 2011-12, these reports included students who were enrolled at time of census in any of the academic terms that comprise the fiscal year, who received a degree in the fiscal year, or who completed a correspondence course in the fiscal year. Beginning in 2012-13, these reports include students enrolled in the prior fall, spring or full trailing summer, as of a full-year snapshot taken in mid-fall for the prior year.
IU campus financial aid and institutional reporting offices also have access to more detailed data snapshots in the IU data warehouse, which they can use for internal data reporting needs. Those data tables serve as the source for our office's published financial aid reports of enrolled students as described above, and they also contain data on students who received aid but are no longer enrolled.
See the table below for a summary of both our published reports, and the more detailed data snapshot tables available through the IU data warehouse to campus FA and IR offices. The table below lists where each report and data source can be found.
Guide to Using UIRR Financial Aid DataRole of UIRR in Filling Data Requests
- Multi-campus needs (e.g. a survey sent to two or more campuses)
- Reporting needs that only UIRR can fill (e.g. technically difficult requests for regional campuses)
- Use the figures published in the IU FA Fact Book whenever possible, especially reports that will be shared outside of the University.
Use caution and the guidelines in the table below when using these IR reports:
- IPEDS Financial Aid (published in the College Navigator)
- Common Data Set (CDS)
Using the IR IUIE reports
- First match your summary data to the IU Fact Book to check your logic. Then add or remove filters to customize the results to your needs.
- Review the meta data published for each report to ensure that you are using the data appropriately. For example, some fields in the award detail snapshot are not additive; i.e. you don't want to add or average them.
In the table below, current and future IR financial aid data sources are listed in the order of most to least useful for general reporting uses. Please feel free to contact UIRR with any questions.
|IR Report||When to Use||Caveats||Status||Publishing Schedule||Location|
|IU Financial Aid Fact Book||Official summary figures for IU of disbursed aid||These are limited to the ICHE annual population. Through 2011-12, this limits the figures to students enrolled at an official census, or who received a degree.||Published through 2011-12.||Prior-Year data are added in October.|
|IU Common Data Set (CDS)||Convenient source of official summary data about % of undergraduates with need who receive academic year aid.||This is limited to students enrolled at fall census. Also, any use of the term "need-based aid" actually means "aid that meets need" (e.g. a merit scholarship for a student with financial need). This report has no information about aid that is awarded based on recipients' financial need.||Published through 2011-12.||Prior-Year data are added in October.|
|IUIE Report: Award Summary Snapshot||Ad hoc reporting where standard aid categories are needed, but the sources above are insufficient. Provides student-level summary data for all aid recipients, including those not in the Fact Book financial aid views.||The most accurate data are in the Prior-Year Snapshot (Award Period = 10-Annual). Use the Award Period that begins with the highest number available for the most accurate data. Be sure to read through the Instructions and Meta Data links to understand how to match the Fact Book figures as a first step for any reporting.||Est. Release: October 2013||5 snapshots per year. 4 are current-year estimated snapshots (October, Jan/Feb, April, July). The 5th is the final official prior-year snapshot, taken in September.|
|IUIE Report: Award Detail Snapshot||Ad hoc reporting where maximum detail is needed. Provides student award data for all aid recipients, including those not in the Fact Book financial aid views.||The most accurate data are in the Prior-Year Snapshot (Award Period = 10-Annual). Use the Award Period that begins with the highest number available for the most accurate data. Be sure to read through the Instructions and Meta Data links to understand how to match the Fact Book figures as a first step for any reporting.||Est. Release: October 2013||Same as Award Summary Snapshot|
|IUIE Report: IR Student Completion Snapshot with Cum. Loans||Ad hoc reporting on degree recipients (all degree levels) with individual students' cumulative borrowing amounts included.||Note that the official summary figures on borrowing are in the Financial Aid Fact Book and the Common Data Set (CDS). This IUIE report provides indicators for matching the summary figures in both the Fact Book and the CDS. This IUIE report also includes non-IU Stafford and Perkins borrowing directly from the SIS Aggregate Aid tables for degree recipients.||Published with cumulative loan data through the 2012-13 fiscal year.||Mid-September|
|IUIE Report: Stafford Loan Cohort Summary||Ad hoc reporting on Stafford Loan Cohort student characteristics.||Note that this only includes summary loan amounts. It is intended for analysis of student characteristics.||Est. Release: October 2013||May and September||
|IUIE Report: SAP Student Snapshot||Ad hoc reporting on Satisfactory Academic Progress, where the Award Summary and Award Detail Snapshots are more than needed.||Note that the summary data from this report are included in both the Award Summary and Award Detail Snapshots (see above).||Published through May 2013 snapshot||2 snapshots per year: January and May|
|IUIE Report: ICHE Annual Data (pre- and post-2011-12)||Ad hoc reporting on all students submitted to the Indiana Commission for Higher Education (ICHE). Allows convenient comparisons between aid recipients and non-aid recipients.||The financial aid data in these reports approximate what is in the IU Fact Book. Amounts may differ slightly because the IU Fact Book figures only round the final figures, while the ICHE data sets round each student's awards. For 2011-12, the data in the Post-2011 report were not used for any official reporting, other than reporting to ICHE. See the Award Summary report above for the financial aid data used for most IR reports for 2011-12.||Published through 2011-12. A revised user-friendly version of the pre-2011 report will be released in late 2013.||Prior-Year data are added in November.|
|IPEDS Student Financial Aid/College Navigator||Official Net Price and Cost of Attendance figures||Note that all aid amounts are hypothetical amounts for full-time beginners at fall census. These amounts hypothesize what the full-time beginners would have received, if they completed a full-time course load in both the fall and spring, even if they dropped out of both semesters or received no actual aid. UIRR does not provide these figures in any other reports, since they are hypothetical.||Published through 2011-12.||Prior-Year data are added in January.|
