PAID TIME OFF (PTO) FOR PROFESSIONAL (PA and PB) STAFF
Procedure
PA Staff report time off utilizing the UITS Paid Time Off System . PB Staff normally send time off electronically for supervisor approval the first of each month, and then forwarded by the supervisor to timeoff for calculation and recording. If any holidays fall during the month, those holidays must be specifically stated as taken or accrued. All PTO hours must be reported in eight hour increments.
An employee may only take as many PTO hours as they accumulate for the year. For example, an employee who has worked less than 5 years at the University accrues 20 hours a month, a total of 240 hours per year. (Employees who have worked longer than 5 years accrue 288 hours per year).
Sick Bank Time
PTO may be taken to cover sick days or vacation days. Sick days (if the employee has accrued time in their sick bank) may be taken for personal or family illness. All sick time must be reported in eight hour increments.
Holidays
The University recognizes the following holidays:
New Years
Martin Luther King Day
Spring (This is a "floating holiday", and may be taken any time on or after March 9).
Memorial Day
4th of July
Labor Day
Thanksgiving Day
Thanksgiving (the day after)
Christmas
Holidays not used for the year may be carried over to the next year, but may not be carried over for a second year.
PTO Balances
Reports of PTO/sick hour balances are issued at least twice a year by the UITS Business Department to each employee.
Year End Activities
At the end of each year, all employees are asked to sign their PTO blue cards and indicate carry over requests. A total of 96 hours may be transferred each year into a sick bank balance. These sick bank carry over hours may be used in addition to the allotted hours each employee may take as time off (either 240 or 288 hours). A total of 240 or 288 hours may be transferred each year into the PTO balance. However, these hours may not be taken in addition to the hours earned each year. (These hours may be taken in January for time off that has not yet been earned. )
