    Dependent Policies

    • The UITS provided Exchange service is bound by all applicable, existing UITS policies.

    Accounts

    • Who can get an Exchange account?
      • IU faculty, appointed staff, and hourly staff
      • IU students with sponsorship from an instructor
    • Disk Space Policies
      • Disk Quota
        • Default disk space quota: 100MB
        • IUB faculty/staff can request extensions up to 50MB
        • IUB students can request extensions up to 50MB with instructor sponsorship
      • Quota Violation
        • Accounts exceeding quota for up to 30 days:
          • Daily warnings from Exchange system administrator
          • New mail will not be sent if your mailbox is 10MB over quota
          • New mail will not be received if your mailbox is 20MB over quota
        • Exceeding set quota more than 30 days: Account will be disabled
      • Requesting quota extensions
    • Data Restoration
      • Data contained in Exchange will only be restored due to a system failure
      • Single messages or single mailboxes will not be restored upon request
        • Users should take precautions when deleting items
        • Deleted messages are moved to the "Deleted Items" folder where they may be recovered by the user
        • To use the "Deleted Items" as an effective recovery mechanism, one should have the "Empty Deleted Items at exit" option turned off
        • *Users have the ability to undelete items after they have left the "Deleted Items" folder for a certain number of days. Contact your support center for more details. How do I contact IU's Support Centers?
    • Virus Protection
      • Virus scanning is currently being performed on the Exchange system
        • Users should also perform active virus scanning on their own workstations
        • The University IT Security Office has more information on how to protect yourself.

    Address Book

    • Naming Conventions
      • All address book objects must adhere to the following formats:
        • Contacts: LastName, FirstName I
        • Resources: must follow ADS naming convention (IN-UITS-ETLarge)
        • Distribution Lists: must follow ADS naming convention ( BL-UITS-ESST ) or already exist in the "@indiana.edu" namespace
      • Departmental identifiers which adhere to the IU given code will take precedence over "unofficial" departmental or workgroup codes

    Public Folders

    • Who can create public folders?
      • IU departmental computing support providers
    • How to create public folders
      • Send requests for folder creation to valid@indiana.edu
        • Once top-level folder has been created, owners may create subfolders
        • Folder owners will also be able to control access to folders through access control lists
    • Disk Space Policies for Public Folders
      • Disk Quotas
        • Default quota per department: 200MB
        • Departments may requests quota extensions up to 400MB
      • Quota Violations
        • Public folders exceeding set quota less than 30 days: Warnings will be issued to folder owner
        • Exceeding set quota more than 30 days: Access to folders will be disabled
        • Exceeding set quota more than 60 days: Folder contents will be archived and permanently deleted
      • Requesting additional disk space
        • Send requests for quota extensions to valid@indiana.edu
        • Departments requiring more than 400MB of disk space may subsidize the additional needed space
    • Data Restoration
      • Data contained in Exchange will only be restored due to a system failure
      • Individual Public Folders will not be restored upon request
        • Users should take precautions when deleting items

    System Maintenance

    • Scheduled Maintenance
      • The Exchange service maintenance window occurs weekly on Sunday mornings from 6:00 am until 10:00 am.
      • The Exchange service may be available during this maintenance window, however service may be interrupted without warning.

    • Unscheduled Maintenance
      • As the need for unscheduled maintenance arises, announcements of the service outage will be made through all normal UCS Support Center channels of communication.
