Check your Exchange Mailbox Size in Outlook 2003

-Note: Check the size of your Exchange Mailbox once a month to prevent future e-mail outages.
1. Open Microsoft Outlook and go to the “Tools” menu.
2. Under the “Tools” menu, click “Mailbox Cleanup.”
3. When the “Mailbox Cleanup” window opens, click “View Mailbox Size.”
The "Total size:", which is expressed in kilobytes (KB), will tell you exactly how large your Exchange Mailbox is. Under UITS policy, you are allowed up to 100,000 KB. UITS may let you exceed that number by a small amount, but once you go too far over, they will cut off your ability to send e-mail. If your ability to send e-mail has been cut off, you will receive “Undeliverable” messages every time you try to send an e-mail. This tells you that you should purge old e-mail that is no longer worthy of keeping to alleviate your mailbox size. Also, it is a good idea to take a look at your “Large Mail” folder under “Search Folders” in your mailbox list on the left side of your Microsoft Outlook window.

Taking time, when available, to regularly clean your E-mail box is a good habit to get into. That said, UITS also offers an expanded E-mail box by request that will raise your available space to 150,000 KB. If you feel that you need this extra allotment, please feel free to approach a member of the IT Staff about pursuing this possibility.
As another option for decreasing your mailbox size, check out the supplemental help article for “Archiving your E-mail,” which will allow you to move your older E-mail to our server, but it will still be accessible in your archive folders.
